Every incoming piece of correspondence can carry a required reply date. As that date approaches, the correspondence changes colour inside the employee's inbox, an early alert first and then an urgent one. Unread correspondence is marked. Counters beside each inbox show how many items have had no action taken. Managers can search all correspondence directed to their department and its sub-departments, follow the actions on each item, and see how long each recipient held it.
The manager does not need to ask "where is the reply to the ministry's letter?" The answer is on the screen, with names and timestamps.
What happens when the responsible employee is away?
The work moves to someone else, with nothing lost.
A draft correspondence that an absent employee was preparing can be transferred by a manager to another employee, who continues exactly where it stopped. Correspondence in the general inbox can be distributed or assigned to any employee in the department. The organisation stays in motion even when individuals are not.
Once a case is closed, where does it go?
This is where correspondence management ends and archiving begins, and it is the most important question for the long term.
Closed correspondence does not disappear into a shared drive. Each department can create archive files with full classification: technical and administrative file numbers, main and sub-classifications, and even the physical storage location down to the room, cabinet, and shelf for organisations still holding paper originals. Access is governed by departments, groups, and individual permissions. Users see only the documents that belong to their department. Administrators decide who views, uploads, downloads, prints, or edits. The Backfile Scanning service goes further with distinct confidentiality levels, so entire sections of the archive can be hidden from users without the required clearance. In CMS, attachment download or printing can be blocked for specific users, and access to a piece of correspondence is limited to the employees involved in it.

How do we verify the quality of what was scanned?
Through a dedicated quality-control stage, not through hope.
In ELArchive, the quality-control module lets quality-team members, or the client's own reviewers, approve or reject each scanned and indexed document. Rejected items carry recorded reasons, whether related to scanning, indexing, or a wrong file, and return to the scanning or indexing team for correction. Approved documents are locked against later editing. The Backfile Scanning service applies quality checks on page counts, scan quality, and the completeness and accuracy of archive data. Rejected documents are returned for reprocessing rather than entering the archive unchecked.
